Jane Clinic Sync — Privacy Policy

Jane Clinic Sync is a private software tool that posts summarized accounting journal entries into the QuickBooks Online files of Steel City CFO's clients. This policy describes what the tool touches and what it deliberately avoids.

What we process

• Summarized financial data: daily or monthly totals by revenue category, payment method, tax rate, and practitioner role, derived from reports the client exports from their practice-management system.
• QuickBooks reference data: the client's chart of accounts and tax codes, read to construct journal entries correctly.
• Connection credentials: OAuth tokens issued by Intuit when the client authorizes the connection. We never see or store QuickBooks passwords.

What we do not process

No patient health information. The tool is designed around summary-level data. Where a source report contains patient names or identifiers, they are stripped or hashed at intake and are not stored, transmitted to QuickBooks, or retained. We do not sell data, use client data for advertising, or use QuickBooks data to train machine-learning models.

Storage and security

Data is encrypted in transit (TLS 1.2+) and at rest (AES-256). Access is limited to Steel City CFO personnel under multi-factor authentication. Working files are retained only as long as the client engagement requires, then deleted per the engagement agreement's retention terms.

Third parties

We connect to Intuit's QuickBooks Online APIs under the client's OAuth consent. Secure third-party software tools are used in service delivery as described in each client's engagement agreement. We disclose data only as required to deliver the engaged services or as required by law.

Your choices

Clients may revoke the QuickBooks connection at any time (Apps > Connected apps inside QuickBooks Online, or by contacting us) and may request deletion of working files at engagement end.
